Terms and conditions

Read the following general conditions carefully. Any registration for one of the trips offered by Groupe Voyages Québec inc. (hereinafter "GVQ") is equivalent to the acceptance of all the conditions set out below, which form an integral part of the contractual obligations of GVQ as well as of the Traveler, as this term is defined below, and govern their obligations. respective.

For the purposes of these general conditions, the term "Travel" includes, without limiting the generality of the foregoing, any trip, circuit, package, program, itinerary organized by GVQ while the term "Traveler" means any traveler, participant, passenger, individual, occupant or person participating in a Trip. The masculine is used herein, but includes the feminine, all for the sole purpose of lightening the text.

Booking one or more services implies knowledge and acceptance of the general and specific conditions, as well as the responsibilities described on our website, in our brochure or on the website of our suppliers.


1. PRICE

Unless otherwise indicated, all prices quoted are in Canadian dollars and for a single person, based on the tourist service provider’s rates, exchange rates, fuel costs, taxes, and other fees in effect at the time of the quote.

The prices shown on our website are based on specific dates and are calculated to represent the costs of the Trip on the date mentioned. Different prices may apply for different dates or services.

The prices of certain services are generated by the companies’ reservation system and may change in real time, based on availability. The final price will be confirmed at the time of credit card payment. GVQ is not responsible for any price changes that occur before the transaction is confirmed. 

Special events 

Published and/or posted prices do not apply to special events (parties, conventions, festivals, etc.). This will be indicated at the time of booking. In high seasons, given the high demand, GVQ will do its best to confirm additional availability at different rates. Other fees may apply. 

Taxes 

Prices include the Québec Provincial Sales Tax (hereinafter “QST”), the federal Goods and Services Tax (hereinafter “GST”), accommodation taxes, resort fees, and local taxes (taxes in other provinces) when applicable. 

Exclusions 

Any services not described in this website’s general terms and conditions, depending on the Traveller’s invoice and the detailed Trip itinerary on GVQ’s websites, are not included in the prices. If there is a discrepancy between the information and/or prices in an advertisement and those in a detailed itinerary, the content of the detailed itinerary and the price listed on the website shall prevail. 

Price adjustment

By law, the prices indicated in the quote may increase due to a carrier’s fuel surcharge or an increase in the exchange rate. The Traveller therefore acknowledges that the price may change for those reasons, provided that, in the latter case, the exchange rate has increased by more than 5% from the rate applicable 45 days before the date of purchase.

If the change results in a price increase of less than 7%, before GST and QST, the Traveller agrees to pay the difference. If the change results in a price increase equal to or greater than 7% of the price, before GST and QST, the Traveller may then choose to (1) cancel the Trip and its contractual terms and receive full reimbursement of the price, or (2) accept replacement services if such services are offered by GVQ. However, prices may not be adjusted less than 30 days before the Trip begins. 

Price reduction 

Price reductions associated with promotions or decisions by GVQ will only apply to new bookings. 

Conditions of departure or fulfilment 

Even if the minimum number of participants is met, GVQ and/or its providers reserve the right to cancel any service for any valid reason for cancellation. The Traveller will be notified as soon as possible and the liability of GVQ and/or its providers shall be limited to reimbursement of the amount paid for that service. 

Rebates and exemptions

Foreign tourists travelling to Canada are entitled to certain rebates and exemptions for certain goods and services. The prices of individual bookings or packages already include these rebates and exemptions.

2. PAYMENT

All services must be paid for in full at the time of booking. They are subject to the strict conditions of each service provider. These conditions are detailed in the transaction confirmation email, on the Traveller’s invoice, and on the provider’s website. 

 

Plane tickets 

All plane tickets are 100% non-refundable and non-transferable, unless otherwise specified by the airline, and must be accompanied by payment in full before being confirmed. 

Accommodation and other services 

Multiple rates, with different booking and cancellation conditions, can be offered for the same service. The Traveller is responsible for checking the cancellation clause that applies to the chosen services. If no cancellation clause is clearly indicated, the payment is considered to be 100% non-refundable and non-transferable.

Please note that depending on the service, credit card payments may be charged by GVQ or directly by the provider. Funds received from Travellers are deposited in a trust account in accordance with the laws of the Province of Québec.  

Requested services 

If a requested service cannot be confirmed immediately, and GVQ must make a special request to its providers, the Traveller must give their credit card number as payment and agree that payment may be debited from the card if the product matches the agreed price and conditions.No additional validation is required from GVQ. If the requested services are no longer available, GVQ will suggest equivalent services. 

Optional activities and excursions, equipment, waivers, and transfer 

It is strongly recommended to purchase activities and excursions through GVQ at the time of booking. Payment for activities, excursions, equipment, waivers, and transfers must be made according to GVQ’s conditions.

Outdoor activities are subject to suitable weather conditions. This means that operating dates at the beginning and end of the season may change, often at the last minute.The service provider may also move or cancel an activity for safety reasons. GVQ cannot be held responsible for these changes or cancellations. 

A deposit will be required on site for all quad, snowmobile, watercraft, bicycle, and other sports equipment rentals. 

3. CREDIT CARD PAYMENT

By providing their credit card number verbally or in writing to make a payment, the Traveller agrees to obey the reservation or booking conditions even if they have not signed any forms. The Traveller agrees that the credit card number provided to GVQ may be sent to the service providers in order to make a payment. Verbal authorization is sufficient to confirm the reservation or booking and allow payment to be made. In certain cases, at GVQ’s request, the Traveller will be required to confirm in writing that they agree to the use of their credit card without a signature.

The use of GVQ’s reservation sites, and the Traveller’s entry of their credit card number therein, signifies automatic acceptance of the policies and general terms and conditions of GVQ and its partners and providers.

If the credit card holder’s name is not in the list of Travellers, GVQ reserves the right to obtain the cardholder’s authorization as a security measure. The Traveller understands that this delay may result in changes in prices and availability.

At the destination, some establishments or service providers may request a credit card to guarantee payment of personal expenses (minibar, phone calls, cribs, room service, safes, smoking charges, breakage, equipment rental, parking, etc.). GVQ shall not pay these additional charges, as they are part of an agreement between the Traveller and the service provider.


Method of payment

Payment methods may be changed, for a fee of $25 per change, by notifying us prior to final payment.

4. ACCURACY OF INFORMATION

The Traveller is responsible for providing accurate personal information for themselves and any people for whom they are making a reservation or booking. This includes names as they appear on the passports, dates of birth, and any other information required by GVQ. Changes to names, no matter how minor, or changes to required information will be considered a cancellation. As such, they will be subject to the applicable fees. Furthermore, an error in a Traveller’s personal information given to a service provider may prevent that Traveller from using that provider’s service, particularly if it is a flight or a cruise. In this case, the Traveller will not be entitled to any reimbursement and will be responsible for any additional expenses.

Changes to the Traveller’s reservation or booking, including but not limited to changes in name, date, or duration of travel; type or number of occupancy; or destination, may be considered a cancellation and subject to the provider’s cancellation fees.

GVQ reserves the right to charge cancellation or change fees in addition to any other fees charged by the service provider.

5. CHILDREN

Child rates will be provided upon request and subject to the provider’s terms and conditions. These rates are based on a child sharing the same room as 2 adults, without adding an extra bed. If the Traveller requires a cot or playpen, they must notify one of our agents or indicate it in the “Message” section. This may incur additional fees, payable on site.

Minors may not reserve or book services (including car rentals and shows) or occupy an accommodation alone. Some providers may also have more restrictive conditions regarding the minimum age of Travellers making reservations or bookings. Travellers are responsible for learning about local legislation or specific conditions in this regard. Even if a service is paid for, the provider may refuse access to a Traveller who does not meet the minimum age requirements. The Traveller must specify the exact ages of children when making reservations or bookings, as well as the age of the other occupants if required. All minors must be accompanied by an adult. GVQ reserves the right to refuse bookings, reservations, or registration from one or more Travellers, without having to provide a reason. The provider reserves the right to charge an additional fee if the Traveller is below the minimum age.

6. TRANSPORTATION AND MEALS

GVQ’s role 

The Traveller acknowledges and accepts the following: GVQ does not provide transportation services.GVQ acts only as an intermediary for passengers travelling by air, train, bus, boat, or any other means of transportation and with airlines, hotels, tour operators, etc. It cannot be held liable for any injury, damage, or loss caused by the negligence or failure of any company or person to provide services or materials covered by these provisions.

The purchase of flights on GVQ’s transactional websites is subject to the airlines’ policies and general terms and conditions. When a Traveller provides their credit card number, they confirm that they have read these terms, conditions, and policies.

The Traveller is responsible for indicating any allergies, intolerances, mobility issues, health conditions, etc. via the “Messages” section so that this information can be sent to the service providers. However, this does not guarantee that accommodations will be made, as the final decision rests with the service providers.

For the comfort of the Travellers and/or in accordance with legislation, it is forbidden to smoke or consume alcoholic beverages on board the mode of transportation, with the exception of beverages sold or offered by the carrier. 

Changes 

Consolidations; cancellations; changes in company, schedule, itinerary, route, travel time, or number of stops; changes in type, size or class of vehicle or aircraft; and other changes may occur without notice or compensation. As GVQ is not a carrier, it cannot be held liable for such consolidations, cancellations, changes, or delays caused by carriers. 

Checking in 

For all transport services, the Traveller is solely responsible for checking departure times with the carrier within 24 hours of departure. Additionally, the Traveller is solely responsible for arriving at the place of departure far enough in advance to be allowed to use the transportation, following the recommendations of the carrier or GVQ or usual standards and practices. For flights, the Traveller acknowledges that they must arrive at the airport at least 3 hours before departure. For all modes of transportation, schedules are given as an indication only. They are not binding and are subject to change without notice. 

Luggage 

Unless expressly indicated, the Traveller must carry their own luggage.

For all transportation for which the cost of baggage is included, unless otherwise specifically indicated, luggage is limited to one suitcase per Traveller plus one carry-on bag if necessary. Luggage must remain under the supervision of its owners. All luggage is transported at the risk of its owners. It must comply with the conditions of the Canadian Air Transport Security Authority https://www.catsa-acsta.gc.ca/en and the service provider or, should the service provider not list conditions, GVQ’s specific conditions. Travellers must clearly identify their luggage and carry-on bags before any Trip, either with the labels provided by GVQ or with any other identifier. GVQ requests that Travellers attach filled-out labels to luggage and carry-on bags before travelling. This will facilitate identification and handling when included. Travellers will need to walk varying distances with their luggage for some modes of transportation, depending on accessibility restrictions.

Transportation of items and/or luggage and related charges, if applicable, are subject to the carriers’ terms and conditions. Upon request, GVQ will be able to guide Travellers to the appropriate resources for details on these charges, terms, and conditions. The Traveller is responsible for complying with luggage weight and number restrictions and must pay applicable surcharges. Airfare and airline conditions are subject to change without notice. Additional fees may be charged or luggage may be refused if it exceeds or does not meet the standards of airlines, cruise lines, accommodations, or any other service provider involved in a Trip.

GVQ and its representatives assume no liability for loss, theft, or damage to the Travellers’ luggage, travel bags, or personal belongings. GVQ recommends that Travellers obtain luggage insurance. 

Renting a car, RV, or other motorized vehicle

Travellers are responsible for inquiring about minimum ages, pick-up and drop-off fees, tire fees (only when taking possession in Québec), necessary documents (such as international driving permits), deposit amounts, inclusions and exclusions, etc. GVQ will not be held liable if any of the conditions are not met and the provider refuses to provide the service. GVQ cannot guarantee availability. 

Car rental

Travellers are responsible for checking liabilities, inclusions, and exclusions for car rentals. They must make sure that the driver is 21 or older for rentals with Hertz or 25 or older for rentals with Avis/Budget. Avis/Budget charges additional fees for drivers between the ages of 21 and 24.

The Traveller is responsible for breakage of accessories such as windshields, mirrors, and tires, as well as costs associated with lost vehicle keys.

When taking possession of any vehicle, the Traveller must present a valid driver’s license from France, Switzerland, Belgium, Iceland, or the United States. Please contact us if you have a driver’s license from any other country. The main driver (name of the Traveller on the Trip document) must have their driver’s license and a valid credit card in their name available to take possession of the vehicle. The name of the driver must be identical to the name on the driver’s license. The main driver must have had this valid license for at least one (1) year.

 

2nd driver 

A charge for a second driver may apply, even if they reside at the same address as the main driver. A second driver who does not live at the same address may only be added at the rental centre when the main driver takes possession of the vehicle.

*LDW insurance is included in the rental rate. This insurance covers the full deductible when the driver is not at fault. Otherwise, a deductible of $300 to $500 CAD, payable by the driver, will apply. LDW insurance shall be null and void, and all damages to the vehicle assumed by the driver, in the event of irresponsible, impaired, or dangerous driving or serious negligence. 

 

**For property damage to the vehicle in the event of an accident or loss of the vehicle caused by fire, theft, or vandalism

 

RV rental with Canadream* 
*A minimum rental of 8 days/7 nights is required for this type of vehicle. 

All rentals with Canadream require a security deposit (deductible) of $1,000, collected when the Traveller picks up the vehicle. This security deposit is required to cover the deductible in the event of an accident; potential additional expenses such as mileage, parking tickets, or loss or breakage of accessories; and damage to the vehicle. If the Traveller is involved in an accident, this deposit will be withheld (subject to the attached maximum amounts shown) for a minimum of 90 days, until the claim is settled.

RV rental with Vanlife* 
*A minimum rental of 4 days/3 nights is required for rentals between June 15 and October 15; a minimum rental of 3 days/2 nights is required between October 16 and June 14. 

All rentals with Vanlife require a security deposit (deductible) of $2,500, collected when the Traveller picks up the vehicle. This security deposit is required to cover the deductible in the event of an accident; potential additional expenses such as mileage, parking tickets, or loss or breakage of accessories; and damage to the vehicle. If the Traveller is involved in an accident, this deposit will be withheld (subject to the attached maximum amounts shown) for a minimum of 90 days, until the claim is settled.

 

The driver must be 25 or older and have a driver’s license that will remain valid for the duration of the rental. This license must be presented when taking possession of the vehicle. An international driving permit is strongly recommended. Only the registered driver will be able to take possession of the vehicle.

To add an additional driver, $50 will be collected at the rental centre.

Meals 

Some services may include one (1) or more meals. While GVQ favours “green” providers, some places may still have plastic and/or cardboard and/or styrofoam dishes and cutlery. Furthermore, some dinners can be eaten at the hotel or at restaurants outside the hotel.

Half board includes breakfast and dinner (unless otherwise specified). Full board includes breakfast, lunch, and dinner. Here are a few examples of possible menus, which will vary depending on the establishment. They may be buffet-style or served at the table:

  • Continental breakfast:
  • Orange juice, tea or coffee, croissant or toast or baguette or muffin, jams.
  • American breakfast:
  • Orange juice, tea or coffee, scrambled or fried eggs, bacon or ham, potatoes, toast, jams.
  • Continental buffet breakfast:
  • Orange juice, tea or coffee, cereals, hard-boiled eggs, pastries, toast, bagels, waffles, fresh fruit, jams.
  • American buffet breakfast:
  • Orange juice, tea or coffee, cereals, scrambled eggs, bacon, ham, sausages, potatoes, pastries, toast, bagels, waffles, fresh fruit, jams. 

Allergies and intolerances 

Travellers must inform GVQ of allergies, intolerances, specific dietary restrictions, etc. as soon as possible so that this information can be sent to providers. It is often impossible to make requests within a few days of arrival.GVQ will immediately notify the service providers, but cannot under any circumstances guarantee that an alternate menu will be offered to the Traveller.

7. ROOMS AND CABINS

Through its providers, GVQ offers thousands of rooms in Canada and the United States, of varying prices and qualities. In situations where the Traveller chooses their own accommodation from the options available online, the Traveller is solely responsible for their choice and the quality of the accommodation. No recourse may be taken against GVQ.

Accommodation and ship classes have been provided by the establishments and cruise lines themselves. In addition, the classes, quality standards, and services in the same category may vary from one country to another. Please note that Wi-Fi is not guaranteed in all hotels or on all ships and that additional charges, payable on site, are to be expected.

In the event of hotel renovations, GVQ shall not be held liable for the inability to use any of the hotel’s services. Compensation will not be given.

At any time and for a variety of reasons, a provider may change the accommodations listed in the final itinerary. However, the accommodations must always be exchanged for a similar or better class. The list of final accommodations and their contact information will be included in the travel documents. 

Check-in and check-out 

The Traveller acknowledges that, in the absence of specific conditions from the provider or GVQ, rooms and cabins in accommodations and on cruises are generally not available before 4:00 p.m. and must be vacated before 11:00 a.m. unless otherwise indicated. Should the provider’s check-in and check-out conditions differ from those indicated, the Traveller will be informed. 

Rooms and cabins 

The view, decor, size, amenities, configuration, and furnishings of rooms and cabins may differ within the same class. Photos and names in advertisements or in the detailed itinerary are taken from the providers’ statements and are for reference purposes only. Some rooms may be smaller, depending on the type of accommodation chosen. 

Room configuration 

Rooms usually include a private bathroom and one or two double beds, two twin beds, or a single bed. In the majority of accommodations, triple- or quadruple-occupancy rooms include two double beds and are the same size as a double-occupancy room. This is not recommended for long trips. “Twin” occupancy rooms may have one regular bed and one Murphy bed or sofa bed.

In the majority of accommodations, including cruise ships, triple or quadruple occupancy is very limited. When available for triple occupancy, the extra bed is usually a cot. Extra beds may not be added in some accommodations. In these cases, extra fees will be charged for a single-occupancy room. Despite the extra charge for single occupancy, these rooms are often smaller and include a single bed. For cabins, configurations and occupancy vary according to the ship and the category selected. 

Occupancy 

When making a reservation, the Traveller must state the exact number of people sharing an accommodation since the price may be affected by the number of occupants. The Traveller must also specify the age of all children. If the Traveller requires a cot or playpen, they must notify GVQ in writing in the “Message” section. GVQ cannot guarantee availability of these products and additional fees, payable on site, may be charged.

Upon arrival, if the number of people differs from the number stated in the reservation, the establishment or cruise ship may refuse to honour the reservation or charge additional fees.

If changes in occupancy are made by one or more Travellers, prices will be adjusted to reflect actual occupancy of the accommodation. For all changes, please refer to the “CANCELLATION FEES” section of these terms and conditions.

8. ASSIGNMENT OF ROOMS, SEATS, AND/OR CABINS

GVQ acts as an intermediary between Travellers and various tourist service providers. GVQ cannot guarantee any special requests as only tourist service providers have the right to assign rooms, seats, or cabins to Travellers. No compensation or refund can be requested from GVQ unless a room, seat, or cabin had been specifically identified by the service provider at the time of the reservation and/or purchase. Any upgrades are beyond the control of GVQ and are at the discretion of the service provider.

For air travel, Travellers’ seats will be assigned at the airport by airline representatives. Since airlines do not allow most groups to select seats 24 hours in advance, GVQ cannot be held responsible for seat assignments made by these carriers.

9. CANCELLATION AND CHANGE FEES

Travellers looking to cancel or modify their purchase must contact a GVQ agent.

GVQ requires written notice for cancellations. The cancellation date is considered the date of receipt of that notice. It will be used to calculate the cancellation fees required by the service provider. These fees vary depending on the provider and/or type of service.Cancellation conditions are listed on the Traveller’s invoice, which constitutes the contract.

Terms and conditions, as well as service provider fees, will apply if services are changed or not used. No refund will be given for services not used during a Trip. 

No-show fee 

Reservations will be cancelled and no refunds will be given for Travellers who do not arrive at their accommodation before midnight and fail to provide notice of a delay. It is the Traveller’s duty to contact the accommodation establishment in case of delay and find alternate accommodation if the situation so requires. Dates and times are calculated using the local time of the destination. Additional fees may be charged for no-shows. GVQ will not be held responsible for any expenses or losses arising from this situation. 

Change fees 

A fee of $50 per request for changes or waivers, plus any applicable fare difference, will be charged to the Traveller. This condition applies at all times. 

Cancellation fee* 

All* services are fully refundable, minus an administration fee of $50 per person, up to 48 hours prior to departure.

*Excluding airfare, RV, camping, outfitters, certain excursions, and any other services that mention non-refundable costs, as indicated in the provider’s policy.

*All airline tickets are 100% non-refundable and non-transferable, unless otherwise specified by the airline. They are also subject to a non-refundable administration fee of $50 per person.

10. CHANGE OR CANCELLATION BY GVQ

GVQ reserves the right, at all times and at its sole discretion, to cancel or replace reserved and/or purchased tourist services with comparable services. Should GVQ cancel a service, the company’s liability shall be limited to reimbursement of the amount paid by the Traveller for the cancelled services. This does not apply to cancellations, changes, or modifications caused by an act of God, including those identified in Section 17. If comparable services are available, the Traveller may have to pay additional costs if the services are more expensive. They may also receive a refund if the comparable services are less expensive. If the Traveller refuses the comparable services offered before departure, their refusal will be considered a cancellation by GVQ and the company’s liability will be limited to reimbursement of the amount paid by the Traveller for the cancelled services. This does not apply to cancellations, changes, or modifications caused by an act of God, including those identified in Section 17.

GVQ’s liability is limited solely to purchases made with GVQ and/or its providers. GVQ accepts no responsibility for other reservations not made through GVQ.

If the Trip has been paid for in a foreign currency, the Traveller is responsible for any loss or gain in reimbursement caused by differing exchange rates.

Unusual or unforeseeable reasons and acts of God 

GVQ may cancel, change, or modify all or part of the Trip in the event of unusual and/or unforeseeable reasons, such as acts of God, including those identified in Section 17. GVQ cannot be held liable for any damages whatsoever caused by such a cancellation, change, or modification, and no reimbursement will be given to Travellers for expenses already incurred by GVQ or amounts that cannot be recovered by GVQ. GVQ is committed to working with Travellers in good faith to help them obtain services comparable to those that have been cancelled, changed, or modified.

11. CHANGES TO CRUISE, AIR OR GROUND TRANSPORTATION ITINERARIES

Cruise lines, ground carriers, and airlines may cancel or modify stopovers or stops, change the duration of stopovers or stops, change the entire itinerary, or cancel transportation at any time and without notice. The itineraries of river or sea cruises may be modified for safety reasons, based on fluctuating water levels or other situations; some parts may therefore be made overland. Such a decision relies on the sole judgment of the captain and the cruise line. For more information on this subject, GVQ requests that you refer to the service providers’ general terms and conditions. Since GVQ does not have any control over cruise lines, ground carriers, or airlines, it cannot be held liable for any losses experienced by Travellers due to such cancellations or changes. If applicable, Travellers must take recourse directly against the service provider. Missed stopovers do not qualify for refunds.

12. PHOTOGRAPHS AND IMAGES

All photos, images, videos, or other types of illustrations are given for reference purposes only. Actual tourist services may differ from the photos, images, videos, or other types of representations given due to categories of services offered, availability, season, work, or other causes.

13. UNUSED SERVICES

Refunds will not be given for services not used during the Trip. If a Traveller has been unable to use a service due to the fault of a GVQ provider or any other third party, the Traveller must take recourse against that third party directly, without involving GVQ.

14. PROOF OF CITIZENSHIP

It is the Traveller’s responsibility to acquire and to pay for any documents required by government authorities for the tourist services booked and/or purchased, including in countries where stopovers will take place. These documents may vary depending on an individual’s citizenship status, their travel destination, and individual circumstances. For most destinations, a passport must be valid for at least 6 months past the return date from the country. For more information, Travellers can contact the nearest embassy or consular office of the country they will be visiting to receive definitive information on all required travel documents. Specific destination and passenger information is also available at www.travel.gc.ca. Travellers must pay all costs related to travel documents and proof of citizenship.All travellers (including children and infants) must have their own identification documents.

Electronic Travel Authorization 

Under Canada’s ETA (Electronic Travel Authorization) program, citizens of countries other than the United States, who do not require a visa to enter Canada, must obtain an online authorization before coming to Canada by air unless they are exempt. This is a mandatory condition of entry into Canada, and a fee applies for examination of the application. You can request the authorization via this link or contact GVQ or your travel agent to find out how to obtain it or pay for it.

Denial of access 

Carriers or competent authorities may deny a Traveller access or entry to a country if they do not have the proper documents in accordance with the required conditions or applicable legislation. Refunds will not be provided if this occurs. Travellers who have all the required documentation may still be refused entry into a country.

Criminal record

Travellers with a criminal record may be denied entry to the United States and certain other countries.

Minors 

A parent travelling alone with a minor child must present a document signed by the other parent authorizing the minor to travel. Usually, this document must be in the form of a sworn written statement, but requirements may vary from one country to another.

15. TRAVELLER LIABILITY

Expulsion 

Any Traveller who registers for a GVQ Trip accepts the conditions and policies of GVQ and/or the service provider. Should the seriousness of the actions or situation so warrant, any Traveller who (1) is in a harmful or problematic state; (2) behaves harmfully; or (3) behaves inappropriately to GVQ employees or representatives, other Travellers or users, service providers or suppliers of goods or their representatives, or any third party may be expelled from a service by a representative of GVQ or the service provider without any prior warning. The expelled Traveller will not be entitled to any reimbursement by GVQ or the service provider. Furthermore, they will be solely responsible for all expenses incurred as a result of their conduct or state, including additional transportation, living and accommodation expenses for their stay and return. 

Denial of service 

GVQ and tourist service providers may deny service to any Traveller who (1) does not arrive on time; (2) endangers the safety of the public; (3) in the service provider’s opinion, may pose a risk to themselves or to third parties by participating in a tourist service; (4) may prevent a tourist service from running smoothly; (5) does not have the correct or proper documents to participate in a tourist service; (6) is carrying non-compliant luggage; (7) is carrying prohibited or regulated items, goods, or substances; (8) violates or appears to violate an applicable standard, regulation, or legislation; or (9) has not paid the full cost of the tourist services. This list is non-exhaustive. The Traveller will not be entitled to any reimbursement if they are denied a tourist service for one of the aforementioned reasons. 

Physical and condition 

Travellers are solely responsible for determining whether their physical and mental condition allows them to participate safely and independently in tourist services. If necessary, Travellers should consult a healthcare professional to confirm their ability to participate in a tourist service. GVQ reserves the right to question Travellers about their ability to take part in a tourist service. It may also request proof of fitness from an appropriate healthcare professional before allowing Travellers to participate in a particular activity. Furthermore, GVQ reserves the right to deny reservation, booking, or registration to one or more Travellers without having to provide a reason.

If a Traveller believes they lack the necessary abilities to do an activity or participate in a tourist service, they must immediately notify a representative of GVQ or the service provider and refrain from joining that activity or service.

Tourist services that involve sports or physical activity are generally accessible to any person in good health and physical condition and do not require exceptional physical fitness or special technical knowledge. However, Travellers must be prepared to be reasonably physically active during the chosen services. 

Medication 

Travellers must bring sufficient quantities of all necessary medications for the duration of all tourist services. Furthermore, they must carry the medications with them at all times. Travellers must have the proper documentation to carry prescription medication.

For any questions regarding potential vaccines, medications, and health risks associated with visiting certain countries or regions, Travellers should contact an appropriate healthcare professional directly. GVQ is not responsible for any information on these subjects or for any risks associated with vaccines, medications, or visits to certain countries or regions. GVQ representatives and their service providers are not authorized to provide special care or medical assistance, and GVQ is not responsible for the carrying or management of Travellers’ medications. 

Special needs or requests 

Travellers requiring special care, assistance, equipment, or treatment must advise GVQ via the “Message” section prior to purchase, or at the time of reservation, since certain services must be reserved in advance and some activities may not be adaptable or available to suit a Traveller’s particular needs.

Travellers with a disability or handicap must notify GVQ upon registration. Some hotels offer “accessible” rooms with furnishings and equipment suitable for various disabilities. These rooms must be booked far in advance and generally cost more than the rooms available through our tours or travel packages. GVQ is not responsible for the provider’s failure to offer an adequate service or room.

Travellers are responsible for advising their travel agent of any allergies, intolerances, special diets, mobility challenges, health conditions, or other needs so that the information can be passed on to service providers. Any special requests or needs (such as a specific floor, view, food, an extra bed, a fridge, etc.) cannot be guaranteed by GVQ as they are at the discretion of the tourist service provider and the final decision is theirs. Additional fees may be required, payable on site or prior to departure. For reservations on the GVQ website, any requests or special needs must be declared in the “Message” section. 

Pregnancy

Some destinations may involve specific risks to unborn children or to people who are or may become pregnant. In addition, certain restrictions may apply to pregnant people. Travellers must inform themselves of specific risks and restrictions. GVQ is not responsible for any such risks; it is up to Travellers to take the necessary precautions. Travellers must also inform GVQ if they are pregnant.

16. TRAVEL INSURANCE

For all Trips outside of their hometown, GVQ recommends that Travellers take out travel insurance covering risks before, during, and after the Trip in order to ensure complete peace of mind. Such insurance can be obtained from one of our consultants or a travel agent. GVQ shall not be held liable for Travellers without travel insurance.

If the Traveller has insurance with their credit card or any other personal insurance, it is their responsibility to check the conditions, the amount of coverage, and the number of days covered and, if necessary, to take out additional insurance.

For active and/or sports Trips, it is important to ensure that the medical insurance covers the activities involved.GVQ strongly recommends that Travellers obtain insurance covering the risks generally associated with sports trips, such as medical and hospitalization expenses, loss and/or theft of luggage, cancellation, rescue, and accidents. Life insurance is also recommended.

All participants in active and/or sports Trips must read and sign a mandatory liability waiver. For minors, signed consent and the presence of at least one parent is required. All adult participants and parents of minor participants must accept the risks associated with the practice of such activities under normal conditions.

17. LIABILITY DISCLAIMER

GVQ holds a Québec travel agent licence and acts in this capacity with tourist service providers whose services are reserved and/or acquired by GVQ Travellers. GVQ also holds a third-party liability insurance certificate. While GVQ chooses its service providers carefully, it has no control over them and, consequently, cannot be held liable for their actions or omissions; those of their representatives, employees, subcontractors, or agents; or for losses of any kind that may result from such actions or omissions. The services are subject to the providers’ terms and conditions. Furthermore, the providers’ liability is limited to the applicable fares, transportation conditions, tickets, vouchers, and international conventions and agreements. The terms of this section also apply to GVQ agents, representatives, and employees. GVQ has an obligation of diligence limited to making the necessary arrangements to make the tourist services booked and/or acquired available to Travellers.

Travellers will not be entitled to any claim, reimbursement, and/or compensation for any loss, cost, expense, damage, difficulty, disturbance, accident, death, delay, cancellation, change, loss of enjoyment, unavailability, illness, injury, inconvenience, disappointment, ordeal, anxiety, frustration, or other annoyance, whether it be material, psychological, or physical, resulting from:


  • • an act or omission of a third party, including service providers;

  • • an illness or a robbery;

  • • a Traveller not having the proper documents, including a passport or visa, when necessary;

  • • an act of God;

  • • a Traveller not meeting the necessary physical or psychological conditions for a service;

  • • a Traveller being refused access to a service by its provider;

  • • a Traveller being refused access to a service, place, event, etc. by government authorities;

  • • a Traveller not following the instructions given and the conditions required to use a service;

  • • a cancellation by GVQ, for any reason whatsoever, of the services booked and/or acquired (GVQ’s liability in such circumstances being limited solely to the reimbursement of the services booked and paid to GVQ by the Traveller, with the exception of cancellations, changes, and modifications caused by an act of God);

  • • a cancellation, change, or modification of tourist services for an unusual and/or unforeseeable reason or act of God, including, but not limited to: illness, accident, epidemic or pandemic, war, political events, riot, acts of terrorism, fire, flood, storm, hurricane, natural disaster, adverse weather conditions, earthquake, mechanical breakdown, labour dispute, a decision of a governmental or legislative authority, bankruptcy (including the bankruptcy of a service provider), disappearance or closure of a service provider, or any other event outside GVQ’s control that could disrupt its operations or the services of its providers.

18. COMPLAINT RESOLUTION

Travellers must notify GVQ immediately if a problem regarding tourist services arises. They must allow GVQ to provide an immediate or timely solution to the problem, when possible, by calling the company at 1-800-463-1598. Complaints will only be considered if, despite its intervention, GVQ was not able to resolve the problem on the spot, as the service is being provided. No other complaints or claims will be considered. In all cases, GVQ’s liability is specifically limited to the price of the Trip. Travellers who wish to make a complaint against GVQ or a third party about a tourist service must, within fourteen (14) days of the service, send a detailed written complaint by email to [email protected] or by registered mail to 1000-2525 Laurier Blvd, Québec City, Québec G1V 2L2. GVQ will follow up as soon as possible. Please note that each GVQ service provider has its own policies regarding damages incurred during services. Travellers are responsible for taking the necessary steps to send complaints or claims to service providers within the time limits and according to the conditions outlined in their policies.

Tourist services that have been paid for, but not received, may be reimbursed by the Compensation Fund for Customers of Travel Agents. This fund is administered by Québec’s Office of Consumer Protection. It provides financial protection for travellers. For more information, visit https://www.opc.gouv.qc.ca/en/ficav/.

19. CHANGES

GVQ or the service provider may allow a Traveller’s tourist services to be modified under certain circumstances in order to accommodate that Traveller.

All requests for changes or modifications must be made in writing to GVQ rather than to the service provider. Any changes not authorized by GVQ will remain entirely at the Traveller’s expense. No reimbursement will be given for any services not received as a result of these changes. Compensation will not be given for shortened trips.

If a change is not permitted and a Traveller decides not to use the tourist services, cancellation fees will apply.

20. ACTIVITIES NOT COVERED

GVQ and its service providers are not responsible for the quality and safety of activities (such as excursions, optional visits, small extras and others) in which the Traveller may wish to participate at their destination but are not part of the Trip, nor for any representation that may be made by the service provider for such activities. Any verbal or written contract regarding such activities is presumed to be between the Traveller and the supplier; any loss, damage, or injury that may occur during the activity is at the Traveller’s risk. GVQ and its service providers are not in any way responsible for complaints or claims arising from participation in these activities.

21. TRAVEL DOCUMENTS AND VOUCHERS

Travel documents will be sent within 5 business days of booking, provided full payment has been received and all services have been confirmed. If the reservation is made within 5 business days of departure, the travel documents will be sent within 24 hours. 

It is the Traveller’s responsibility to ensure that all vouchers match the reservation and that the names match official travel documents.

22. PRIVACY

GVQ will create a file in which the Traveller’s contact information and information about the services sold and provided by GVQ will be securely stored. The information in this file will be shared for administrative purposes and to ensure the quality of the services provided. To that end, GVQ may contact the Traveller to follow up on their Trip.

23. LAWS

This agreement is governed by the applicable laws of the province of Québec. The contract took effect upon GVQ’s acceptance of the booking at its head office.

24. PHOTOGRAPHY

By participating in a GVQ Trip, the Traveller authorizes GVQ to use their photo for specific use and publication on social media or in printed or electronic documents, brochures, corporate documents, promotional tools, magazines, websites, and other similar documents in a professional context. The Traveller must formally notify GVQ if they do not wish to appear in the aforementioned publications.

25. TIPS

In most countries, tips make up a significant part of the income of certain professions that make up a key part of the tourism industry’s economy. They reflect your satisfaction with the services received throughout your stay. While they are not already included, not mandatory, and fully at your discretion, they are always highly appreciated.

26. DEPARTURE LOCATION OF THE DRIVER, TOUR GUIDE/DRIVER, PRIVATE DRIVER, OR TOUR GUIDE

The place of departure may vary for some trips, excursions, and activities. It is your responsibility to arrive ahead of time and at the place confirmed in your travel documents.

27. ERRORS, MISTAKES AND AVAILABILITY

GVQ and its suppliers reserve the right to refuse, correct, or cancel a reservation and/or the purchase of a tourist service in the event of a printing error, mistake, or unavailability. The availability and prices of the services are validated only once payment has been confirmed.

28. RÈGLEMENT DES PLAINTES

Le Voyageur doit permettre à GVQ d'amener une solution immédiate ou dans les meilleurs délais au problème, lorsque possible, en communiquant avec GVQ au 1-800-463-1598. Les plaintes ne seront considérées que si GVQ n'a pu résoudre le problème sur place, lors de l'exécution des prestations touristiques, et ce malgré ses interventions. Aucune autre plainte ou réclamation ne sera considérée. Dans tous les cas, la responsabilité de GVQ se limite spécifiquement au prix du Voyage. Tout Voyageur qui croit avoir une réclamation contre GVQ ou un tiers en lien avec l'exécution des prestations touristiques doit, dans les quatorze (14) jours suivant la fin des prestations touristiques, adresser une plainte écrite détaillée par courriel au [email protected] ou par la poste, sous pli recommandé, au 1000 - 2525, Boulevard Laurier, Québec, Québec, G1V 2L2. GVQ y donnera suite dans les meilleurs délais. À noter que les fournisseurs de GVQ ont chacun leurs politiques quant aux dommages subis durant les prestations touristiques. Il est de la responsabilité du Voyageur de prendre les dispositions nécessaires pour acheminer les plaintes ou réclamations aux fournisseurs dans les délais et conditions requis par ceux-ci
